Ask when the service has earned the conversation
A referral request works best as a clear invitation after the customer has had a chance to review the completed work. First resolve outstanding questions. An unfinished job or unanswered complaint is a poor moment to ask someone to recommend you.
Keep the request optional. The customer should not feel that a review, referral or future booking is a condition of getting help. Explain the services and area you can currently support so they do not recommend work you cannot take.
Choose one person to ask and record when the request was made. Multiple employees sending the same request can turn a friendly conversation into a campaign the customer never agreed to receive.
A short request the customer can forward
Hi [name], thank you for choosing us for [service]. If someone you know needs [services] in [service area], you are welcome to pass along [business contact or enquiry link]. They can describe what they need and we will confirm scope and availability before quoting. No obligation, and please let us know if you have any questions about your own visit.
Give the customer your business contact rather than asking for their neighbor’s phone number without permission. The referred person should choose to contact you. Do not publish the original customer’s address, job photos or private feedback to make the request more convincing.
If you operate a separate referral offer, explain its actual conditions clearly before anyone participates. This guide’s sample does not include a reward program, and narra is not presented as automatically issuing referral incentives.
Track the enquiry, not an assumed sale
| Field | What it tells you |
|---|---|
| Enquiry date | When the referred person contacted the business. |
| Source | Customer referral, with attribution only if permission and context allow. |
| Requested work | Service, area and timing the new customer needs. |
| Next action | Call, scope check, site visit or quote, with an owner and date. |
| Outcome | Quoted, booked, declined or outside scope. |
| Capacity | Whether the team can deliver the proposed appointment. |
Do not count a forwarded contact as a booking. Measure what happened next: a real enquiry, a suitable quote and an accepted job. That helps you distinguish useful referrals from general interest without inventing conversion figures.
Use the estimate intake checklist for the new property. A referral is a warm introduction, not a substitute for checking scope and access.
Worked example: a neighbor needs a different package
A fictional recurring-cleaning customer refers a neighbor who needs a first clean after moving. The business thanks the existing customer without discussing the neighbor’s quote. It then asks the new enquiry about rooms, condition, access and timing.
The neighbor’s job is quoted independently. The first clean takes different preparation from the original customer’s recurring package, so the office does not copy the old price. It confirms what is included and offers a date the crew can actually deliver.
If the new enquiry misses a call, the office uses a clear callback message and records the next attempt. It does not tell the referrer that a sale has happened before the customer accepts.
narra’s customer and job records help keep the new scope, quote and later visits together. Referral tracking and outreach decisions still need a deliberate business process; no automatic referral campaign is claimed here.
Review the worksheet monthly. Check which services were requested, which enquiries fitted the business and whether promised dates were realistic. Adjust what you ask customers to share when the referrals repeatedly fall outside your area or services.
Frequently asked questions
When should I ask for a referral?
Ask after the customer has reviewed the work and outstanding issues have been addressed. Make the request optional and specific about the services and area you can currently support.
Should I ask for a neighbor’s phone number?
Give the customer a business contact or message they can forward so the other person can choose to enquire. Avoid collecting or contacting someone’s private details without appropriate permission.
Is a referral the same as a booked job?
No. Record the actual enquiry and next action, then distinguish quoting from acceptance and scheduling. A recommendation does not establish scope, price or appointment availability.
Does narra send referral campaigns automatically?
This guide describes a manual business process. narra’s customer, quote and job records support the service workflow; an automated referral campaign or incentive program is not claimed.
