First, confirm what has changed

A text that says “we cannot do tomorrow” can mean a different appointment, a skipped recurring visit or the end of the service. Ask which change the customer wants. Record the affected property, visit and requested next step before altering the calendar.

Check whether the crew has left, materials have been ordered or access has already been arranged. Those facts affect the office’s response, but they do not automatically justify a new fee. Review the terms the customer actually agreed to and the circumstances of this visit.

Give the customer one contact for the decision. Avoid having the crew, dispatcher and owner make different promises in separate messages. For recurring work, be explicit about whether later appointments remain scheduled.

Choose a useful replacement for the time

Bring a job forwardCustomer consent, access, travel, crew skills and available duration.
Finish nearby workApproved scope, materials and a realistic completion window.
Use internal workEquipment checks, stock review or training with a clear owner.
Release the slotTell the crew what changed and confirm their next assignment.
Rebook the visitOffer dates you can deliver and record the customer’s choice.

A nearby job is not automatically a suitable replacement. The property might need the owner present, the service might require different equipment, or the travel could consume most of the gap. Use the access checklist before dispatching to a newly agreed stop.

Do not silently pull a customer forward just because their address is close. An earlier visit is a new promise that needs confirmation.

Worked example: one cancellation, two choices

A fictional cleaning crew has a two-hour afternoon appointment canceled that morning. A nearby recurring customer could fit the gap, but has not agreed to an earlier date. The office asks whether that customer wants the available window and checks the scope, key handoff and crew capacity.

If the customer accepts, the office updates the appointment and tells the crew which instructions apply. If there is no answer by the dispatch cutoff, the office uses its planned stock and equipment review instead. It does not mark the unanswered offer as a confirmed booking.

The original canceled visit stays identifiable. A replacement appointment does not mean the original service was completed, and a cancellation charge is separate from billing work performed. Keep these distinctions clear in your invoice review.

Confirm the cancellation and next action

Original customer message

Hi [name], we have recorded your request to [cancel this visit/reschedule/stop the service] for [property] on [date]. [Later visits remain scheduled / We will confirm the remaining schedule with you.] We can offer [available options]. Please reply with your choice by [real planning cutoff]. We will review any applicable charge under the terms agreed when booking and confirm it with you.

Replace the alternatives with the actual decision. Do not leave contradictory choices in the message. Follow up once through the agreed contact method if the next appointment remains unresolved.

Review cancellations periodically: which appointments lacked confirmation, which customers had repeated access problems and which service windows were unrealistic? Improve the booking process using those facts rather than assuming every cancellation could have been prevented. Appointment reminders can help confirm plans, but a reminder cannot guarantee attendance.

narra’s schedule gives the office a place to organize the revised visits and assignments. Review replacement work yourself; no automatic slot-filling service is claimed.

Frequently asked questions

Is a canceled recurring visit the same as ending service?

No. Confirm whether the customer is skipping one visit, requesting a new date or stopping the recurring arrangement. Record which future appointments should remain in the schedule.

Can I charge a cancellation fee?

Check the terms already agreed, the circumstances and applicable requirements before deciding. This checklist does not establish a fee or authorize introducing one after the cancellation.

Should I move another appointment into the gap?

Only after the other customer agrees and the office checks access, crew capacity, travel and equipment. An unanswered offer should remain an offer, not a confirmed appointment.

What should the crew see after a cancellation?

They should receive the updated assignment and any confirmed replacement instructions. Keep the canceled visit distinguishable so nobody treats the original work as completed or bills it as performed.
